Zapier + CaptiFi

Overview

What does the Zapier integration do?

An official CaptiFi Zapier app is on the roadmap and is not yet live. When it lands, it will let you connect CaptiFi to more than 5,000 apps with no code, using triggers such as a new guest signing in, a repeat visit or a review being left, paired with actions like adding a tag, sending an email or creating a CRM contact. The result is a single hub for wiring your WiFi guest data into HubSpot, Salesforce, Notion, Google Sheets, Slack and the rest of the Zapier catalogue.

The principle is straightforward. Every time a guest signs in to your venue WiFi and opts in, CaptiFi captures consented details such as their email, the venue and the visit date. The forthcoming Zapier app will hand those events to Zapier so you can build automations that fit your own stack rather than waiting for a one-off native connector for each tool you use.

It is worth being clear about what is already possible today. A generic Zapier webhook path is what powers CaptiFi's current Square, Klaviyo, Salesforce, SumUp and Facebook Pixel connections, so Zapier-based automations are not new to the platform. The dedicated, branded CaptiFi Zapier app, with named triggers and actions you can pick from a list, is the part that is still coming.

What you get

Why connect Zapier to CaptiFi

One connection, thousands of apps

Once the official app is live, a single CaptiFi to Zapier link will reach more than 5,000 apps, so you will not need a separate native connector for every tool your venue already runs.

No-code automations

You will build workflows in Zapier's visual editor without writing any code, choosing a CaptiFi trigger and the action you want in another app.

Named triggers and actions

The forthcoming app will expose clear triggers such as new guest, repeat visit and review left, plus actions like add tag, send email and create CRM contact, so you are not hand-building raw webhook payloads.

Consent travels with the data

Only guests who opt in on your splash page will flow through Zapier, so the records and outreach you trigger downstream stay aligned with GDPR and PECR.

How it works

How it will work

1

Wait for the official app (coming soon)

The branded CaptiFi Zapier app is part of a forthcoming rollout. Until it ships, you can already use the generic Zapier webhook path that powers the current Square, Klaviyo, Salesforce, SumUp and Facebook Pixel connections.

2

Choose a CaptiFi trigger

When the app is live you will start a Zap by picking a CaptiFi trigger such as new guest, repeat visit or review left, so the automation fires on the right guest event.

3

Pick the action in your other app

Select what should happen next, for example add a tag, send an email or create a CRM contact in HubSpot, Salesforce, Notion, Google Sheets or Slack.

4

Map the guest fields

Match the CaptiFi data, including email, venue, visit date and consent state, to the fields the receiving app expects, then turn the Zap on.

In the real world

How venues use Zapier with CaptiFi

Pub

When a guest signs in for the first time, a Zap will create a contact in your CRM and post a quick alert to Slack so the team knows a new regular has arrived.

Cafe

On a repeat visit trigger, a Zap will add a loyalty tag in your email tool and append the visit to a Google Sheet you use to track returning customers.

Hotel

When a guest leaves a review, a Zap will log it in Notion and notify the duty manager, so positive feedback is celebrated and any issue is followed up fast.

FAQs

Frequently asked questions

Is the CaptiFi Zapier integration available yet?
Not yet. The official, branded CaptiFi Zapier app is coming soon and is on our roadmap. In the meantime a generic Zapier webhook path already powers our Square, Klaviyo, Salesforce, SumUp and Facebook Pixel connections, so Zapier-based automations are possible today. Start a free trial to use what is live now, and the dedicated app will give you named triggers and actions when it ships.
What triggers and actions will the Zapier app include?
The forthcoming app is planned to ship with triggers such as new guest, repeat visit and review left, alongside actions like add tag, send email and create CRM contact. That covers the common venue workflows, from welcoming a first-time guest to nudging a returning customer or logging feedback, without you having to assemble raw webhook payloads by hand.
Which apps will I be able to connect to?
Once live, the CaptiFi Zapier app will reach more than 5,000 apps in the Zapier catalogue. That includes HubSpot, Salesforce, Notion, Google Sheets and Slack, which are called out specifically, plus the wider library of tools Zapier already supports. You build the connection with no code, so you are not limited to a fixed list of native connectors.
Will I need a separate Zapier account?
Yes. Zapier is a third-party automation platform, so you will connect through your own Zapier account when the CaptiFi app is available. Zapier's own plans and task limits will apply to the automations you run, which is worth bearing in mind on busy sites that sign in a high volume of guests each day.
What guest data will flow through Zapier?
Only consented data from guests who opt in on your splash page. That can include their email, name and phone number where captured, plus the venue, the visit date and the marketing opt-in state. Because the consent state travels with each record, the contacts you create and the messages you trigger downstream stay aligned with GDPR and PECR.
Can I do anything with Zapier before the official app launches?
Yes. CaptiFi already uses a generic Zapier webhook path under the bonnet, and it is what currently connects Square, Klaviyo, Salesforce, SumUp and Facebook Pixel. So you can run Zapier-based automations today through those routes. The branded app, with a clean list of CaptiFi triggers and actions to choose from, is the piece still on the way.
