What does the HubSpot integration do?

A native HubSpot integration is coming soon to CaptiFi. It is on the roadmap and not yet live, but it is worth understanding now because it will change how venues turn WiFi sign-ins into CRM records. CaptiFi runs a branded captive portal: a guest connects to your WiFi, sees your splash page, and signs in by sharing their details with marketing consent. Today those details land in CaptiFi and can already reach your other tools. The forthcoming HubSpot connector will take that same consented guest data and push it straight into HubSpot Contacts.

Once it launches, the integration will create or update a HubSpot Contact for each guest who signs in, attach their full visit history to the record, and fire HubSpot workflows when a new sign-on happens. That means the people walking through your door will show up in the same CRM your team already uses to manage follow-ups, segments and automated emails, with their venue engagement visible right on the contact timeline.

Venues connect HubSpot because it closes the loop between footfall and follow-up. Instead of guest data sitting in a separate list, it becomes part of your CRM, ready for marketing automation, segmentation and reporting. Until the native connector ships, HubSpot can already be connected to CaptiFi through Zapier, so you do not have to wait to start syncing guests into your CRM.

In the meantime, create a Zap that listens for new CaptiFi guest sign-ins and connect your HubSpot account as the action. This Zapier-based link takes roughly ten minutes to set up.

Match the data CaptiFi captures, such as email, name, phone, venue and visit date, to the matching HubSpot Contact properties so each record is created with the right detail.

How will guest data reach HubSpot before the native connector ships?
Through Zapier. You build a Zap that triggers on a new CaptiFi guest sign-in and uses HubSpot as the action to create or update a Contact. It is a Zapier-based connection rather than a one-click native one, but it carries the same consented guest data into your CRM while the native integration is being built.
What guest data will the native integration send to HubSpot?
It will send the consented details captured at WiFi sign-in: the guest's email address, their name and phone number where collected, the venue they signed in at, the visit date and sign-on event, and their marketing opt-in status. This data maps to HubSpot Contact properties so each record is created or updated with venue context.
Will it create duplicate contacts for repeat guests?
HubSpot identifies Contacts by email address, so a returning guest who signs in with the same email is expected to update their existing record and build a single visit timeline rather than create a duplicate. As this is a forthcoming integration, you will be able to confirm the matching behaviour once the native connector launches, and HubSpot's own deduplication tools remain available to keep your CRM tidy.
Will it be able to trigger HubSpot workflows?
Yes. The native connector will fire HubSpot workflows when a new sign-on happens, so you can start welcome sequences, follow-up emails, segmentation or internal alerts automatically as guests connect to your WiFi. Until then you can route Zapier-created contacts into a HubSpot list or workflow yourself.
Does HubSpot only receive guests who opted in to marketing?
CaptiFi captures a marketing opt-in at sign-in and carries that consent status with each guest. You stay in control of how you treat contacts in HubSpot based on that status, which helps you keep marketing sends aligned with the consent your guests actually gave on the captive portal.
